Five Copier Features Worth Paying For, and Three That Are Usually Oversold

Copier sales conversations have a predictable shape. The specs that are easy to sell are not the specs that change your Tuesday, and the gap between them is where offices overspend.

Here is our read, from placing machines in Chicagoland offices since 2006.

Worth paying for

1. A document feeder that scans both sides in one pass

The single highest-value feature for most offices, and the one people underestimate.

A single-pass duplex feeder scans front and back simultaneously. The alternative runs the whole stack, flips it, and runs it again, twice the time and twice the jam risk. On a fifty-page contract that difference is a minute. Across a filing season it is days.

Look for at least a 50-sheet capacity and mixed-size detection.

2. Mobile and cloud printing that actually works

People print from phones and laptops that were never joined to your network. Support for AirPrint and Canon's own mobile apps, plus direct printing and scanning to the cloud storage your office already uses, removes a recurring annoyance.

One caution worth stating: Google Cloud Print was shut down in 2020. If any provider's materials still list it as a feature, that tells you when their information was last updated.

3. Enough speed, and a fast first page

Chase first-page-out time before you chase pages per minute. Almost nobody in a normal office stands and waits for page forty. Everybody waits for page one, several times a day.

25 to 30 ppm mono covers most small offices comfortably. Speed beyond that matters when you have genuine volume, not because a higher number looks better on a proposal.

4. Paper handling that matches your actual documents

Two trays plus a bypass covers most offices: letter in one, legal or letterhead in the other, envelopes and heavy stock through the bypass. Check the weight range against the heaviest thing you actually run.

The test is not how many trays it has. It is whether anyone has to reload a tray to print a standard job.

5. Security features, do not skip these

Some guides put this in the "oversold" column. That advice is wrong, and it is worth being direct about why.

Every multifunction copier has internal storage, and it can retain images of what you copy, scan, print and fax. That is true of every manufacturer. It means the machine in your hallway is a device holding copies of your documents, and almost nobody asks their vendor about it.

Image overwrite and encryption should be turned on at installation, and they are not expensive add-ons on current machines. If you handle medical, legal, financial or HR records, this is not optional.

When a machine eventually leaves your building, get the drive overwritten or removed and get written confirmation of the method and date. We do that on request and issue a certificate of destruction. Ask for the same from anyone, including whoever hauls it away.

High-end finishing

Booklet-making, hole punching and saddle stitching demo beautifully and get used monthly at best. If you produce bound documents weekly, buy it. If you produce them quarterly, the premium will not pay for itself.

Stapling is the exception, it is cheap and it does get used.

Paper capacity you will never fill

Six trays and 4,000+ sheets is a print room configuration. Most offices are well served by 1,000 to 1,500 sheets, and the extra costs money and floor space to hold paper you were going to buy anyway.

Speed beyond your volume

The most common way an office overspends. A 60 ppm machine in an office that prints 3,000 pages a month is not faster in any way anyone notices. Size to your volume with headroom, not to the top of the range.

The feature nobody lists

Who fixes it and how quickly. A modestly specced machine that gets serviced next business day beats a fully loaded one waiting a week for a subcontractor. Ask that question before you compare spec sheets.
